How do I add a new asset?

Most computers appear automatically when their monitoring agent enrols. For assets without an agent (monitors, printers, phones, furniture), open Assets and use Add asset to create the record manually, then fill in make, model, serial, category and ownership.

How do I assign an asset to an employee?

Open the asset from Assets (or the Asset Map), choose Assign, and pick the person. The assignment is recorded with who did it and when, and the previous holder's custody is closed automatically. You can also assign several selected devices at once with a bulk action.

How do I transfer assets between departments?

Open the asset and edit its department, or use the transfer action to move it and record the change in its history. For many assets at once, select them in the Assets list and apply a bulk edit to set the new department.

How do I track asset history?

Every asset has a History/Lifecycle tab showing a merged timeline: assignments, transfers, returns, upgrades, replacements, repairs, renewals and disposal — each stamped with who and when. This is the audit trail for that asset.

How do I manage warranty information?

Open the asset and edit its warranty start and end dates on the detail page. Warranty cover appears on the asset, in the lifecycle view, and in the employee's "My Assets" page, and expiring warranties raise a reminder.

How do I renew AMC contracts?

AMC contracts are managed in the AMC & Field Service area. Open the contract and use Renew to extend it; upcoming expiries are flagged in the lifecycle and renewals view so nothing lapses unnoticed. See the AMC & field service section for more.

How do I import assets using Excel?

There is no spreadsheet import today, and we would rather tell you that than pretend otherwise. For computers, deploy the monitoring agent — each machine auto-creates its asset record as it enrols. For other items, use Add asset, then select them and use bulk edit to set shared fields (department, location, ownership). You can always export the asset register to Excel or CSV.

What do the asset ownership types mean?

Each asset carries an ownership type — owned, rented, leased, contracted, customer-owned or vendor-managed — with the party, reference and end date where relevant. You can filter and report by ownership, and rented/leased items raise an expiry reminder as their term ends.

How do I map unassigned devices to people?

Open the Asset Map. It shows a pool of unmapped devices with one-click assignment, and — if your company enables auto-mapping — suggested owners based on who signs in on each machine. Review a suggestion and accept it, or assign manually.

How do I transfer an asset from one user to another?

Use the user-to-user transfer on the Asset Map, or the transfer action on the asset itself. The old custody is closed and a new one opened, and both people's equipment views update.

How do I manage software licences?

Open Licences under Assets. Create a licence with its seat count and renewal date, assign seats to people or devices, and the view tracks seat usage and compliance, flagging over-allocation and upcoming renewals.

How do I see an asset’s health and remaining life?

Open the asset's Health & forecast tab (also summarised in the employee's "My Assets" page). A rules-based score from 0 to 100 reflects measured factors, and a straight-line forecast estimates remaining service life and book value from the asset's own history and its category's typical life. It is a rule of thumb, not a prediction model.

How do I dispose of or retire an asset?

Open the asset and use Dispose. The asset is marked Retired and a disposal event is written to its history with the recovery value you enter — the record is kept, not erased, so the audit trail stays intact.

How do I export the asset register?

From the Assets list, apply any filters you want and use the export (CSV or Excel). Lifecycle and licence views have their own exports too. Exports respect your data scope and are audited. They are available once your service provider has switched exports on for your company.

How do I print a QR label for an asset?

Open the asset and use its QR option to generate a label. Scanning it opens that asset's record, which is handy for stock-takes and handovers.
